Every day, businesses lose vast amounts of valuable data because they fail to backup their files. In fact, over 50% of UK businesses are at risk of losing valuable data, and World Backup Day acts as a crucial reminder to backup your files, taking place on March 31st. This blog will explain what a backup is, why it is important, and the range of backup solutions that Upland Systems can provide to help your business.
What is a backup and why is it important?
A backup is a copy of all your important files, documents and emails. There are many benefits to backing up your files. The most obvious is security – backing up your data safeguards your business against unforeseen threats and helps you keep operations running smoothly. These threats might be a hardware failure, accidental deletion or a data breach, and you wouldn’t want to lose years of work. Backing up your data ensures that you will still have access to the data accumulated over the years, minimising downtime while maintaining GDPR compliance.
How do I backup my files?
There are many different ways to backup your files and data. Some people prefer to use their software, while others use paid software. Whatever you choose, it’s important to make sure it’s something you’re comfortable with and will work best for your needs. Here at Upland Systems, we have a range of backup solutions for your business including:
Synology NAS Backup Device
NAS backup devices are local storage solutions that can store large quantities of data whilst maintaining excellent security. These devices are a great first step to ensuring a robust backup system.
365 Data Backup to Synology
Company 365 data can be backed up to a Synology device. This ensures Emails, OneDrive, and SharePoint items are available locally in the instance of internet outages or security failures.
Microsoft OneDrive / SharePoint
OneDrive and SharePoint are ways to increase the parity of data while improving data accessibility. Not only is OneDrive and SharePoint data available anywhere with an internet connection, but it can also be shared. OneDrive is typically for personal use, whereas SharePoint has excellent collaborative capabilities.
C2 encrypted Cloud
Synology C2 backups allow some or all files stored on a Synology device to be backed up to the cloud. Although the Synology devices are very reliable, Synology C2 backups solidify the accessibility of data in the event of a local network outage.
Acronis Machine / Server Image
Server Imaging backups allow for accelerated downtime in the case of a system rebuild. When a server is damaged beyond needing a quick fix, it is worth having a server image backup that can be installed on the same or replacement server hardware.
Microsoft Replica
Replica backups are used to backup the software that runs the various services from a server. Facilitated by backing up an exact replication of a server to other local servers, replication can be used as a first step when in need of a server restore. As the replicated system data is stored locally, it typically takes less time to restore a server than using a cloud backup without the protection of an off-site solution.
Windows PC Backup
Windows backups can be used to backup Windows images and data to a local drive or USB drive. This can be used when documents are missing or deleted, or when a PC fails to boot as a recovery drive on another PC.
USB off-site rotation drives
As a local disk taken off-site, a rotational USB drive backup has both the benefit of quick backup and restore time whilst also being protected off-site. However, the downside of a USB drive is in the doing! All systems listed above are automatic, whereas a rotational backup system requires staff to remember to bring one drive-in, swap drives and take the other drive home daily.
